Privacy Policy

1. Who we are
Chairward (“Chairward,” “we,” “us,” or “our”) offers a marketing website at www.chairward.com, a Salon Ops SaaS dashboard (Essentials, Complete, and Enterprise), demo/sample portal experiences (including Harbor Cut sample data), and optional Salon Ops consulting when offered.
Contact (email only): hello@chairward.com. We are not your attorney, CPA, tax advisor, payroll provider, or employment counsel.
2. Scope
This policy covers:
- Marketing site browsing and contact
- SaaS portal accounts (email/password sessions; optional future two-factor authentication)
- Harbor Cut demo/sample data — illustrative sample salon data, not a live Booker or other booking-software connection
- Contact forms (Formspree form ID xbglbwvz → hello@chairward.com, with mailto fallback if needed)
- Future production connections to salon systems (e.g., Booker) when live — today, demos use sample data only
3. Information we collect
You give us:
- Contact / waitlist information — name, email, salon name, software you use, and message content via form or email.
- Account information — email, password (stored hashed; we do not store plaintext passwords), display name or role labels, and optional future 2FA settings.
- Billing information (when purchases are enabled) — payment and invoice details processed by Stripe. We do not intend to store full card numbers on our servers. Purchases may currently be paused.
- Salon / operations data you connect or upload (when live) — booking, staff, KPI, or related data you authorize. Today’s Harbor Cut demo uses sample data only.
- Consulting materials (if engaged) — exports, roster summaries, financial category totals, and related business information you provide.
We collect automatically: IP address, browser/device type, pages or screens viewed, approximate location from IP, referrer, timestamps, hosting/application logs, and session cookies or tokens for portal login.
Demo honesty: Harbor Cut and similar demo seats show sample/illustrative data for product exploration. They are not a live production salon and not a live Booker (or similar) connection. Do not treat demo numbers as live operational truth.
4. How we use information
- Respond to inquiries, waitlist / request-access messages, and support
- Create and operate SaaS accounts, sessions, and (when enabled) plan entitlements
- Provide, maintain, secure, and improve the website, dashboard, and demo experiences
- Process billing and invoices when purchases are live
- Deliver consulting engagements you request
- Send product or service notices
- Comply with law, prevent abuse, and enforce our Terms
We do not sell your personal information.
5. Sharing & subprocessors
We may share information with:
- Cloudflare Pages / Workers — hosting and edge delivery for the marketing site and portal/demo
- Formspree (form ID xbglbwvz) — contact/waitlist submissions notified to hello@chairward.com
- Stripe — checkout and billing when purchases are enabled
- Email — provider used for hello@chairward.com
- Professional advisors (attorney, CPA, bookkeeper) under appropriate confidentiality
- Legal / safety when required by law, or to protect rights, safety, or property
- Collaborators on a consulting matter with your knowledge, limited to what the work requires
We do not use one client’s confidential numbers, names, or playbooks as another client’s deliverables.
6. No sale of personal information
We do not sell personal information and do not share it for cross-context behavioral advertising as commonly described under U.S. state privacy laws. If that posture changes, we will update this policy and provide required notices.
7. Cookies, analytics & tracking honesty
The marketing site is largely static and may use necessary cookies or local storage for basic function. Portal accounts use session cookies or equivalent tokens. We may use host-level traffic metrics (for example, Cloudflare analytics or similar). When we add a named analytics provider, we will name it here. We do not currently claim a third-party marketing pixel suite on the marketing site. Browser settings can control many cookies; blocking necessary cookies may break login or forms.
8. Salon systems & production data (when connected)
When you connect a live salon system (e.g., Booker) or upload production data, you represent that you have authority to share it. We process it to provide your SaaS features (and consulting, if separately engaged). Until a live connection is enabled for your account, demo/sample data remains sample only.
9. Retention
Inquiries and Formspree submissions are kept as needed to respond and for reasonable business records. Account data is kept for the life of the account and afterward as needed for records, security, disputes, or law. Billing records (when live) are kept as needed for tax, accounting, and chargebacks. Consulting files follow the engagement and agreed record needs. Logs are kept for a limited operational period unless needed longer for security or compliance. Contact us for deletion requests.
10. Security
We use reasonable administrative and technical measures appropriate to a small SaaS practice (access-limited systems, hashed passwords, HTTPS via our hosts, careful handling of exports). No method of transmission or storage is 100% secure. Report suspected account issues to hello@chairward.com.
11. Your choices & privacy rights
Email us to request access, correction, or deletion of personal information we hold about you, subject to legal and legitimate business retention needs. If you are in a region with specific privacy rights (EEA/UK, certain U.S. states, etc.), contact us and we will work in good faith to honor applicable requests. We may need to verify your identity. Subject tip: “Privacy request”.
12. Children
Our site and services are directed to business owners and salon professionals, not children. We do not knowingly collect personal information from children under 16 (or under 13 where that threshold applies).
13. International users
We are based in the United States (New Hampshire). Information may be processed in the U.S. and other locations where our providers operate.
14. Third-party links
Links to other sites are not under our control. Their privacy practices apply to those sites.
15. Changes
We may update this Privacy Policy by posting a new version on this page with an updated date. For material changes affecting SaaS accounts, we may also notify account holders by email or in-product notice when practical. Continued use after the effective date means you acknowledge the updated policy.
